The controller determines why and how your personal data is processed.

Data Protection Officer

We have appointed a Data Protection Officer, whom you can contact with any questions concerning the processing of your personal data and the exercise of your rights.

2. What data we process and why

2.1 Contacting us

Our website does not contain a contact form. If you get in touch with us by email, we process the data you provide to us yourself.

Scope: first name and surname, email address, and where applicable telephone number, organisation name and the content of your message.

Purpose: to reply to you and to conduct related communication.

Legal basis: our legitimate interest under Article 6(1)(f) GDPR in replying to those who contact us. If your message concerns possible cooperation, this constitutes pre-contractual relations under Article 6(1)(b) GDPR.

Retention period: one year from the end of the communication, unless a further relationship arises from it.

2.2 Applying for the STICS Follower and STICS Explorer roles

Applications for these roles are made through a questionnaire created in Google Forms. Your responses are stored in our account with Google’s services, and Google acts as our processor to this extent. The website does not contain a registration form and no user accounts are created.

Scope: first name and surname, email address, organisation name and job title, and where applicable telephone number and the town or region where you operate; along with any other data you voluntarily provide in the questionnaire.

Purpose: to include you in the STICS network, invite you to events and send you information related to the project and to your role.

Legal basis: pre-contractual and contractual relations under Article 6(1)(b) GDPR.

Retention period: for the duration of your involvement and thereafter in line with the document retention period set out in the grant agreement; where no such period applies, for three years.

2.3 Applying for the STICS Collaborator role

Involvement in this role takes place through direct communication with us, without using a form.

Scope: first name and surname, email address, organisation name and job title, and where applicable telephone number.

Purpose: to include you in the STICS network and to agree the terms of cooperation.

Legal basis: pre-contractual and contractual relations under Article 6(1)(b) GDPR.

Retention period: for the duration of your involvement and thereafter in line with the document retention period set out in the grant agreement; where no such period applies, for three years.

2.4 Sending information about the project

If you give us your consent, we will occasionally send news, event invitations and outputs of the STICS project to the email address you have provided. We do not use any external tool for distribution; messages are sent from our ordinary email accounts.

Scope: email address, and where applicable name and organisation name.

Purpose: to keep you informed about the progress, activities and outputs of the STICS project.

Legal basis: your consent under Article 6(1)(a) GDPR.

Retention period: until you withdraw your consent. You may unsubscribe at any time by replying to any of our messages or by emailing the address given in section 1. Withdrawing your consent does not affect the lawfulness of processing carried out before the withdrawal.

2.5 Website traffic and cookies

Scope: truncated IP address, device and browser type, pages visited, source of the visit, time spent on the site.

Purpose: to measure traffic, improve content and assess the effectiveness of our communication.

Legal basis: your consent under Article 6(1)(a) GDPR, given through the banner shown on your first visit to the site. We do not activate these tools without your consent.

2.6 Server logs

Scope: IP address, date and time of access, technical data about the request.

Purpose: security, stability and troubleshooting of technical faults on the website.

Legal basis: our legitimate interest under Article 6(1)(f) GDPR.

Retention period: one year

3. Who we share data with

We do not sell personal data or provide it to third parties for their own marketing purposes. We share it only with those who help us operate the website and the project.

We may also provide data to public authorities where required by law, in particular in connection with audits of a project funded from public sources.

4. Transfers to third countries

Some of our suppliers process data outside the European Economic Area, in particular in the United States.

We safeguard such transfers on the basis of the European Commission’s adequacy decision under the EU-US Data Privacy Framework, in which the relevant providers participate, or alternatively on the basis of standard contractual clauses approved by the European Commission.

5. Your rights

Under Articles 15 to 22 GDPR you have the right:

  • of access to your data and to a copy of the data we process about you,
  • to rectification of inaccurate data and completion of incomplete data,
  • to erasure, where the data is no longer needed, where you withdraw your consent or where we process it unlawfully,
  • to restriction of processing in the cases set out in Article 18 GDPR,
  • to portability of the data you have provided to us on the basis of consent or a contract, in a structured, machine-readable format,
  • to object to processing that we base on legitimate interest,
  • to withdraw your consent at any time, without affecting the lawfulness of processing carried out beforehand.

Ako si práva uplatniť

Send your request to info@stics.sk or in writing to the address of our registered office.

We will respond within one month of receiving your request. If the request is complex or if we receive several at once, we may extend this period by a further two months; we will inform you of the extension and the reasons for it within one month.

If we cannot reliably identify you on the basis of your request, we will ask you to provide the additional details needed to verify your identity. You may exercise these rights only on your own behalf or on behalf of a person you represent under a power of attorney.

Handling a request is free of charge. In the case of manifestly unfounded or excessively repetitive requests, we may charge a reasonable fee or refuse to act on the request under Article 12(5) GDPR.

6. Right to lodge a complaint

If you believe that we are processing your data in breach of the law, you may lodge a complaint with the supervisory authority:

We would, however, be glad if you contacted our Data Protection Officer first. Most matters can be resolved more quickly and without formal proceedings.

7. Automated decision-making

We do not use your personal data for automated individual decision-making or profiling that would produce legal effects or similarly significantly affect you.

8. Provision of data

Providing your data is voluntary. Without it, however, we cannot reply to your enquiry, include you in the STICS network or invite you to events.

9. Changes to this policy

We may update this policy from time to time, for example if we change a supplier or add a new activity. The current version is always available on this page and the effective date is stated at the beginning. We will inform you of any substantial changes if we have your contact details.
